Building Policies and Procedures

Building Access: Normal building hours are 8:00 a.m. - 5:00 p.m. Monday – Friday. The BRC is locked-down during the weekend. To gain access to the building after hours, a building access card needs to be completed and signed by the employee’s PI. The signed access card is then taken to Building Management to have the ID card programmed.

Building Keys: To obtain keys, a key card needs to be completed, signed by the employee’s PI, signed by building management, and then taken to the Service Center Building room 26. The lock shop hours areMonday, Wednesday, and Friday from 8:00 a.m. - 10:00 a.m. and Tuesday and Thursday from 2:30 p.m. - 4:30 p.m.

Building Equipment: See the Policy on the Use and Maintenance of Building Equipment. If there is a problem with building owned equipment call Building Management (271-5522 x6).

Principal Investigators are responsible for making certain all laboratory personnel are properly trained in the use of all shared scientific equipment as well as washers, dryers, sterilizers, centrifuges, x-ray developers and environmental rooms. Please note that the PI and/or his or her Department are responsible for the cost of repair or replacement of damaged common shared scientific equipment due to improper use by faculty, staff, or students.

Building Problems: If there is a building problem, please call Site Support with a trouble call at 271-2121. After hours, call Campus Police at 271-4300. In each case, notify the individual taking the call of any urgency and/or seriousness of the problem.

Conference and Seminar Room Policies and Procedures: Building Management (271-5522 x 6) schedules the seminar room 109 on the first floor. 469 is scheduled through Vicki Jones at 271-2481, and 1418 and 1476 are scheduled through the Cancer Center at 271-6520. All other conference rooms can be booked through Outlook.

All rooms are available between 8:00 a.m. and 5:00 p.m. Monday through Friday. The seminar room, conference rooms 103, 1276 and 1476 are equipped with video projectors for PowerPoint presentations. No laptop computer is provided. For all other conference rooms there is a portable projector that can be checked out through building management. If you have a large conference you must coordinate parking for the attendees with OU Parking (271-2020).

Common Laboratory Support Spaces: The priority use for these spaces is for common, shared equipment. An important secondary use is for the placement of -85/-135 freezers. The placement of any other equipment in the laboratory support spaces needs to have the prior approval of BRC Building Management (271-5522 x 1).

Building Management reserves the right to hold space for common equipment and to relocate PI or department owned equipment in common shared laboratory support spaces if necessary, with the understanding the PI will be informed and oversee the relocation, and that management would pay for any relocation expenses.

Corridors: All building corridors should be kept clear at all times, and no storage, equipment or lab carts should be in the halls.

Custodial Services: For questions or concerns call General Services at 271-2313. After hours and for emergency services, contact Campus Police at 271-4300.

Housekeeping sweeps, mops, vacuums and removes trash daily. They will fill paper towel dispensers and strip and wax floors as needed. They will dust the main common areas but do not dust desks/work areas and lab benches. Empty boxes are to be placed in the hallway (preferably broken down) and pallets/crates are to be taken out to the dumpster in the BRC North Courtyard.

Deliveries: Deliveries to the BRC loading docks are restricted to large deliveries. The main loading dock is on the North side and access is through the Stanton L. Young Walk. A secondary loading dock is located on NE 10th Street and restricted to deliveries for the vivarium and core laboratories and for use by moving companies. Please make certain a name and room number are in the delivery address, request inside delivery, and make certain all boxes and crates are removed from the hallway and loading dock.

Express or small deliveries including samples for labs may come through the front door. Individuals making deliveries or pick-ups may park in the circle drive parallel to the front door for no longer than 15 minutes.

Emergency Supply Closet: On each floor (rooms 212A, 1273, 312A, 1373, 465 and 1469), there is an emergency Supply Closet with broom and dust pan, mop and bucket, ladder, wet/dry vac, spill kit, and a first aid kit. Please let Building Management know if you use the spill kit or the first aid kit so that we can restock the items used.

Glass Wash Rooms: Building Management (271-5522 x6) has the soap, paper, and ribbons for the use in these machines. Please make certain equipment is operated properly.

Mail Room: There is a common mail room on each floor (204, 304, and 404). Each Principal Investigator on the floor has a mailbox assigned to them. Mail will be picked up and delivered twice a day (approximately 9:30 a.m. and 1:30 p.m.).

Notices/Flyers: On the second, third and fourth floors, there are bulletin boards in each break room. Notices and flyers are to be posted ONLY in these areas.

Parking: Monday through Friday 8:00 a.m. - 5:00 p.m., employees are to park in their designated parking lot assigned to them by OU Parking and Transportation. There are four BRC spaces reserved for ADA. There are four 30 minute parking spaces reserved for BRC visitors and for quick stops by BRC PI’s only. There are six two hour spaces for BRC visitors only. All laboratory personnel from the BRC and other facilities should not park in the front drive area. Individuals may park in the circle drive after 5:00 p.m. and prior to 8:00 a.m. Saturday and Sunday individuals may park in the circle drive all day.

PI’s and faculty from other on-campus institutions, like OMRF and Dean McGee, should park in J-Lot and have their institution purchase a “check-out” parking pass for J-Lot. This is done for University PI’s based at the PHF Research Park Building 800 and it works well.

PI’s and others should inform vendors that come to the BRC to service equipment, conduct sales activities, etc. to obtain a parking permit from OU Parking and Transportation. A fee will be charged to the vendor for this permit, but they will be allowed to park in the nearest lot to the building(s) they serve.

If a visitor will be here longer than two hours, they will need to park in J-Lot. Have them go to the gate and push the button to obtain a validation card. In order to get out of J-Lot visitors will be required to have the card validated. Have visitors take their card to the front desk or room 174 for validation.

Power Surges: Unfortunately we experience power surges on this campus. Take all precautions to protect your equipment. For freezers we recommend you purchase a Buck and Boost which is a device that will provide a constant power source to your freezer thus saving your compressor and extending the life of your freezer. You can purchase this through Site Support by submitting an SUR to them. For all other equipment we recommend you purchase surge protectors and/or a UPS.

Sink Drains: All sink drains, including cup sinks, should be primed with water on a regular basis to prevent sewer odors.

Smoking/Tobacco Use: All OU Health Sciences Center property is tobacco free. All tobacco use including cigarettes, cigars, pipes, smokeless tobacco, e-cigarettes and vaping devices is strictly prohibited on University property.

University Policies: All applicable University of Oklahoma Health Sciences Center policies, including University Building Rules and Regulations, should be adhered to. (http://www.ouhsc.edu/policy)

Vending: Vending machines are located in rooms 274 and 374. Contact Building Management if you have a problem or need a refund.

Windows: Interior windows are to be blocked out with black film/material only. The use of aluminum foil, white paper, colored paper, cardboard or any other material is discouraged. Please cover window with black film/material first and then from the inside of the window place the aluminum foil or other material. This will keep a “clean” look to the hallways.

Wireless Internet Services: On the first floor, wireless internet service is available in all the lobby areas and on the patio. The seminar room 109 and all the conference rooms in the building are all equipped with wireless internet services.
